Privacy Policy

Pertch ("we," "us," or "our") is committed to protecting your privacy. This policy explains what data we collect, how we use it, who we share it with, and your rights regarding that data.
1. What we collect
- Account information: The email address you use for passwordless sign-in, and your subscription status.
- Audio (in transit only): During a session we capture two audio streams in your browser, the meeting tab you share and your microphone, and stream them for live transcription. We never write an audio file. Nothing is recorded. See section 3.
- Session data: When a session ends, we save the text transcript, a generated post-call summary (objections, unanswered questions, next steps, key takeaways), and the coaching prompts you saw with the short transcript context behind each one. This is stored privately in your account so you can review your own calls. See "Data retention" below.
- Coaching profile: Any coaching goals you set and any pre-call brief you enter for a specific deal. These guide the coaching and are sent to our AI provider during the session (section 5).
- Usage data: Session timestamps, methodology and call-type selections, coaching minutes used, and your prompt feedback (thumbs up/down).
- Payment information: Processed securely by Stripe. We never see or store your credit card details.
2. What we do NOT collect
- Audio recordings: Pertch never records or stores your call audio. The audio streams exist only in memory during the session and are discarded immediately. There is no audio file at any point.
- A manager or team view of your calls: There is no manager dashboard, team analytics, or shared workspace. Your transcripts, summaries, pre-call briefs, and coaching goals are visible only to you. (For support and billing, our own staff can see account and session metadata, described in section 6, but not your transcript or summary content.)
- CRM or third-party sync: We do not push your call data into Salesforce, HubSpot, or any other external system.
3. How audio and transcripts are handled
When you start a session, Pertch captures the meeting tab you choose to share and your microphone, and streams that audio to a speech-to-text provider for real-time transcription. The transcript, your coaching goals, and any pre-call brief are then used to generate live coaching prompts (section 5). When the session ends:
- Both audio streams stop and no audio is stored
- The text transcript and a post-call summary are saved to your private account so you can review the call
- That saved content is automatically and permanently deleted after 30 days (see "Data retention")
4. How we use your data
- To authenticate you and manage your account and subscription
- To transcribe your call and deliver real-time coaching prompts
- To let you review your own past sessions for 30 days
- To improve prompt quality, using your prompt feedback and aggregated, non-content metadata
- To process payments
5. Service providers we share data with
We do not sell or rent your data, and we never share it for third-party marketing. We share only what each provider needs to run the service:
- Speech-to-text provider: Receives the live audio stream for transcription. Audio is processed in real time and is not stored by the provider.
- AI provider: Receives rolling transcript excerpts, your coaching goals, and any pre-call brief in order to generate coaching prompts and your post-call summary.
- Stripe: Payment processing.
- Email and hosting providers: To send your sign-in codes and operate the service.
6. Data retention
- Transcripts, summaries, briefs, and prompt context: The raw content of your sessions is retained for 30 days so you can review your calls, then permanently deleted.
- Session metadata: Non-sensitive metadata (session date, methodology, call duration, prompt counts and ratings) is kept up to 12 months for product improvement. Our staff may view this metadata for support and billing.
- Account information: Retained as long as your account is active.
You can request deletion of your account and all associated data at any time.
7. Consent and call monitoring
Pertch does not record audio, but it does create and store a text transcript of your calls. Consent and call-monitoring laws vary by jurisdiction, and some require all-party consent. You are responsible for complying with the laws that apply to you and your company's policies, and for disclosing your use of an AI coaching tool where required.
8. Security
All data in transit is encrypted via TLS. Sign-in is passwordless (a one-time emailed code), so there are no passwords to store or leak. Payment data is handled entirely by Stripe's PCI-compliant infrastructure.
9. Your rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your account and data
- Export your data in a portable format

11. Changes to this policy
We may update this policy from time to time. We'll notify you of material changes via email or an in-app notice. Continued use of Pertch after changes constitutes acceptance of the updated policy.
